The information collected as part of involvement with an Educational Psychologist is essential to ensure we can provide the best possible support your child. It is important that you understand how your information is collected, stored, and kept safe and confidential.
All data is processed in accordance with the requirements of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Personal Data We Collect
We may collect and use the following personal data:
• Personal identifiers (including name, date of birth, and contact details)
• Demographics (including sex, language, and ethnicity)
• Details of any additional needs
• Relevant background, medical and educational history relating to the child and, where appropriate, family members
• Information regarding a child’s status as being care experienced, where applicable
• Attendance data from the child’s educational setting
• Details of previous involvement with other professional services
• Any additional personal data necessary to assess needs and provide the requested service (including contact details of relevant family members)

• Completion of forms, including consent forms
• Consultations with you and your child
• Consultation with other professionals involved, with your consent
• Information provided by other professionals, including previous reports
• Communication via post, email, or telephone where appropriate

Sharing Personal Data
We may share relevant information with other professionals involved in your child's care in order to provide coordinated support.
We will not share your information with third parties outside of this context without your consent, unless:
• We are required to do so by law
• It is necessary in order to fulfil our statutory duties under the Children and Families Act 2014 and Children and Young People (Scotland) Act 2014
• There are safeguarding concerns requiring information to be shared to protect a child
Data Storage and Security
All personal data is stored securely and accessed only by authorised individuals on a strict need-to-know basis. Appropriate measures are in place to protect against unauthorised access, loss, or misuse.
Data Retention
Personal data will be retained only for as long as necessary:
• Working files will be held for the duration required to complete the assessment and report
• Final reports will be retained for future reference where appropriate
• In line with the British Psychological Society Practice Guidelines (2017), records may be kept until the child reaches 25 years of age (for non-statutory work)
All data will be securely deleted or destroyed when no longer required.
Your Rights
You have the right to:
• Access the personal data we hold about you and your child
• Request correction of inaccurate information
• Request deletion of data where applicable
• Withdraw consent at any time
